We have an exciting opportunity for an experienced professional to join our busy Development and Sales team who will have a varied workload providing full administrative support to a demanding team.

The role also involves dealing with calls from customers who are experiencing issues with their newly built homes. You will be expected to take full details and liaise with our external partners and internal departments to resolve issues for our customers positively and effectively whilst ensuring the very best levels of service.

Core responsibilities are:

Answering all calls and emails from clients and logging queries Logging all queries/complaints in detail on excel spreadsheets and various internal systems Dealing with complaints and managing through to resolution (escalating when appropriate) Liaising with multiple internal departments and colleagues to resolve client queries and complaints Receiving invoices from contractors / suppliers, checking and processing for payment To oversee the recording of requests for service and complaints on the database and to issue to the relevant member of staff To be responsible for collating monthly figures for KPI’s and reporting purposes To be responsible for collating, updating and maintaining accurate data on the department databases To organise annual customer satisfaction surveys and report results Undertaking a range of administrative duties including word processing, mail merge, production and maintenance of excel spreadsheets, photocopying, filing, scanning, answering the telephone, arrange meetings, coordinate programmes, minute taking and other similar administrative tasks as directed Organising and attending key business meetings Sending out invites and booking available rooms using Outlook Following up key stakeholders for information within tight deadlines Collating key information for reporting purposes Providing a robust administrative support function to a multi-skilled team Working very closely with internal stakeholders offering key information and full support as needed Requirements

To be considered for this role you will meet the following criteria:

Ability to deal with complaints through to resolution in a professional manner Highly numerate with excellent attention to detail A good understanding of Customer Service Experience of working in an administration and customer service role Experience of dealing with customers over the telephone Ability to effectively communicate in a patient, sympathetic and tactful way by telephone with tenants, leaseholders and colleagues Ability to work as a team member and under own initiative and manage a heavy workload Ability to contribute to and maintain high quality service delivery by performing to targets Ability to communicate effectively both verbally & in writing Ability to record information accurately & concisely Able to work in a pressurised environment and to make decisions and initiate action in a calm, efficient manner. Ability to work on own initiative and as part of a team. Ability to prioritise competing work priorities. Excellent customer care skills Understanding of confidentiality, security and client data and the Data Protection Act 1998 Highly flexible and a self-starter who is able to work both within and outside of established policies and procedures. Proven ability of working with key stakeholders from all levels within a business Excellent IT skills with intermediate to advanced knowledge and experience of Microsoft Office A willingness and ability to learn and develop skills to fulfil the role The ability to multi-task, prioritising work and meeting deadlines. The ability to adapt and respond in a positive and efficient manner to changing circumstances. Working hours are Monday - Friday 9am - 5pm
