The role of the Administrator is:

• to effectively carry out a wide range of administrative tasks for the overall business supporting a wide range of functions and Business Units.

• to provide reception support to ensure all visitors are routinely dealt with in an efficient and courteous manner on a rota basis whilst working as a member of the Administration Shared Services Team.




Your duties will include, but are not limited to:

• Provide general administrative support which may include typing services e.g. reports, letters and any other documents as requested by the business;

• Upload new agreements to relevant systems and databases (e.g. the Global Contract Services and European Law Department);

• Ensure accurate and timely organisation of all filing and archiving of paperwork and documents including any computer-based information to be organized and retained in line with the Corporate Record Retention guidelines;

• Maintain SharePoint sites as requested by the business (where appropriate);

• Offer Visa application support (e.g. preparing letters of invitation after HR approval has been given and preparing outgoing business visitor visa applications for UK passport holders);

• Do any ad hoc administrative tasks/requests (for example last minute travel bookings that are not able to be provided by Cluj travel bookers);

• Ensure the Reception area is presentable and managed at all times during normal working hours of  09:30 to 18:00;

• Provide telephonist service for incoming calls (answer calls where possible within 3 rings), handling queries, redirecting calls, taking and passing on messages in an accurate and timely manner;

• Receive and welcome visitors to the site, issue visitor pass, give instruction on emergency evacuation procedures and announce visitors;

• Ensure visitors are dealt with in an efficient, courteous and professional manner;

• Prepare Staff and Visitor badges and data maintenance of the Access System;

• Manage meeting room bookings;

• Arrange assignee’s accommodation and other requirements around the UK, perform inspections, liaise with Landlords or assignee’s (e.g. issuing equipment and handling complaints assignees);

• Ensure timely distribution of internal announcements to all relevant site and home based staff ;

• Ensure that all incoming mail is sorted and distributed to relevant departments;

• Ensure all outgoing mail is logged and franked ready for Royal Mail collection ;

• Maintain daily operation of the franking machine, including monitoring and re-ordering of credit facilities ;

• Support Health and Safety for the site ensuring regular testing of the fire alarm system;

• Other responsibilities or tasks that are within your skills and abilities, whenever reasonably instructed.


• At least 1 or 2 years of professional experience in a similar position or proven experience and competence in word processing/typing;

• Availability to work from 9:30 AM to 18:00 PM from Monday to Friday;

• Standard grade in English and Maths; 

• Excellent communication and interpersonal skills;

• Ability to work on own initiative with minimum supervision;

• Competent with Microsoft office applications, especially Word, Excel, PowerPoint, Outlook and SharePoint.
