Supporting Technical Co-ordinator & Technical Manager

Housing Developer Projects include Heritage & Listed Buildings

Summary/Purpose of Job:

1.To create, deliver and continually improve financial and contractual control of projects in order to achieve the Departmental and Corporate Objectives.

2.To utilize the existing business control procedures and engender/encourage improvements wherever practicable.

Job Specific Key Tasks/Responsibilities:

1.To be the company’s ‘Ambassador’ for the department by having an in-depth knowledge of the department’s procedures, programme, and workload.

2.To assist the department with the Soil Investigations across the holding sites. Ensuring we are tendering to the appropriate companies and getting best value from the tests identified.

3.To meet with various Service providers on site to discuss service proposals and obtain quotations for the work.

4.To meet with CCTV drainage contractors to understand the extent of drainage we can retain. Organise competitive tendering for surveying the condition of the existing drainage.

5.To be the responsible person within the department for producing, managing, and updating all Pre-construction Health and Safety Information.

6.To work with the Repairs Co-ordinator when undertaking condition surveys on listed buildings to get a better understanding of the level of repair required. Ensuring quality handy written notes are taking and then converted onto the standard blue beam format.

7.To assist the Technical Co-ordinator / Repairs Co-ordinator by collating information gathered during site visits and surveys and to produce clear, professionally presented documents - CAD/Bluebeam/PDF/Excel, etc.

8.Using Site Audit Pro or a Dictaphone, ensure that all ideas, information and pictures are recorded whilst on site so these can be fed back into the design through the opportunities tracker.

9.To help organise on-site meetings with subcontractors and to satisfy the requirements of the department for any shortlisted specialist sub-contractors that have not previously engaged in business within the group.

10.To arrange, assist in the preparation and document all pre-construction meetings carried out with regional project managers, design managers and commercial managers.

11.To assist the Repairs Co-ordinator in meeting insurance company requirements and setting up the security proposals for the site.

12.To liaise and instruct the onsite handymen.

13.To produce, update and manage the Management and Maintenance plans for all the holding sites.

14.To assist the Services Manager by collating the required existing services information and formulating onto a plan using CAD. As this information progresses into proposed Services Scheme this will need to be updated on blue beam to show this.

15.To ensure that site visits are carried out regularly and efficiently to assist in identifying potential problems.

16.To ensure all information is collated prior to all site visits - drawings, spreadsheets, pictures and latest planning ideas for review by the team when on site.

17.To effectively assist the team in the assessment/critique of the Conservation Architect’s Schedule of Repairs in a time-effective manner that can then be submitted back in a presentable fashion.

18.To ensure that all documents are fully completed in accordance with the Department’s procedures and distributed in accordance with company procedures without putting the company at risk.

19.To manage the secretary in organising the L; drive system so the department’s information is easily accessible.

20.To highlight any potential savings to be made to the relevant manager within the company and group. To update and maintain the Departmental Procedures.

21.To keep detailed written records of all team meetings and maintain a well organised work schedule.

22.To assist the team in rectifying defects that the Customer Care Department require assistance in resolving.

23.To update and advise the design department of any new appropriate products, that could influence future or current specification.

24.To maintain effective lines of communication with all team members and other departments.

25.To continually look at ways to improve systems and procedures within the department.

26.To control the management and completion of relative action points from internal meetings in the timescales identified.

27.To understand our client's Insurance responsibilities on each site and assist with regular updates.

28.Working with the repairs Co-ordinator compile room data sheets in accordance with company procedures

29.To ensure attendance at the weekly departmental meeting.

30.To occasionally attend site with the Technical and Conservation Director and produce quality reports on any identified poor workmanship.

Management Responsibilities

1.To ensure that all communications with stakeholders are handled properly and in a way which is consistent with the Vision and Values of the business

2.To be responsible for providing other departments with the necessary information, properly laid out, to enable them to discharge their responsibilities with the maximum of efficiency but always making best use of Company resources.

Experience Required:

1.To have achieved at least a 2:1 Degree in a recognised Construction related degree.

2.To have at least 2 years’ relevant work experience.

3.To have a basic, practical and demonstrable knowledge of Building Surveying, CAD and Construction practices.

4.To have a basic, practical and demonstrable knowledge of construction methodology.

5.To have a basic understanding of the various types of construction contracts.

6.To have an in-depth understanding and appreciation of the importance of Health & Safety.

7.To be financially aware (cost management).

8.To be computer literate i.e. Word, Excel, Email, CAD, Bluebeam
