Overview

PSP is seeking a full-time Event Administrator. This position requires a high capacity for developing new processes coupled with a high level of organisation and customer service. The Event Administrator will be a member of the operations team to support the coordination of more than 100 public and in-house events annually.

Primary Responsibilities

Events

Finding and securing hotel conference rooms for all public workshops. Oversee the negotiation and contracting for event venues and vendors. Oversee the budget for each public event. Set an expense budget and coordinate with PSP’s Controller to ensure the proper expense coding. Ensure the registration process is flowing seamlessly for attendees (receipt of proper communication). Manage the event registration and management process through PSP’s CRM and Even Management module ( & Linvio Events application) Manage the shipping list with the warehouse fulfilment manager and confirm delivery of the workshop materials (learner toolkits, registration reports, room decorations, etc) Interface with the catering contact at each event and ensure excellent presentation of the meals and snacks to registrant learners. Reconcile the expenses with Accounting to ensure events are on budget with timely deliver of event P&P’s through the Accounting department. Administrative

Provide Customer Service support including, answering incoming phone calls, e-mails and live chats. Answer customer e-mail support inquiries in a timely manner (same business day for a response). Effectively place orders, manage the online store and provide online systems support. Manage workshop events to include setting up online sessions, shipping materials, working with the Sales team and workshop facilitators to provide support during preparation, execution and follow up of workshop events. Act as the face of the company to greet customers, certification attendees, etc. Offer guests beverages when they arrive and act as a hostess. Work with Accounting and IT to ensure monthly online invoices are created and completed accurately on the first day of the month . Collaborate with other members of the operational team at PSP team to effectively support customers, strategic partners, and the Sales and Marketing departments. Requirements

Excellent, persuasive verbal and interpersonal communication skills (heavy email communication) Two years event coordination experience preferred; business/corporate sales is also a plus Strong work ethic and proven ability to work effectively, willingly, and with a positive attitude i fast moving, interdependent team environment fast moving, interdependent team environmentOther Requirements

Must have Events experience Expertise with Google docs (spreadsheets and presentations) is mandatory Strong organisational/ communication skills
